When you’re expecting a room full of friends and family to help you twist and tangle your tresses, the last thing you want is a delayed or incorrect shipment. Similarly, the professional stylists who have booked appointments with these soon-to-be dreadheads need the exact right tools and products, on time, without fail. In short, DreadHead HQ’s customers are the best type to have. They want products and they want them now, and meeting their demands required a fulfillment process that was nothing short of flawless.

 

 

CHALLENGES

 

Before implementing a scan and pack solution, DreadHead faced numerous challenges that led to a high packing error percentage.

DreadHead’s fulfillment is performed by clients enrolled in Vocational Rehabilitation. Clients are rotated through the DHHQ contract every few months as they are hired into the workforce. This results in the company frequently training and onboarding new clients. Because of logistical constraints, all training must be done remotely, via videos and a training website. This requires the DreadHead fulfillment system to be simple to use and easy to learn.

Small dread beads, a flagship product, posed a significant challenge due to the extensive variety (at times over 500 unique types), often leading to packing errors, especially when fulfilling orders with large quantities of similar beads. However, this issue was swiftly addressed with the implementation of barcode scanning. GroovePacker ensures precision and accuracy in the pick-pack process

 

In the hair and beauty industry, bundling products according to their intended use is commonplace. Assembling a kit containing all the essentials for starting on a dreadlock journey is helpful to customers and good for sales. GroovePacker supports multiple types of kits. One of these allows DreadHead to pre-pack kits and scan them as a single piece (while tracking the inventory for the kit parts). When they are not able to pre-pack the kits due to time constraints they are able to scan these same kits as individual items. GroovePacker recognizes that the kit is being packed on the fly and updates to show the use the remaining items to pack. This offers DreadHead the flexibility to pre-pack kits for efficiency when it is feasible or scan kit’s part by part, building them for each order. This fits perfectly with their existing process and the removal of kit-related mistakes has had a massive impact on their fulfillment accuracy.

Many of DreadHead’s kits are similar with only small SKU differences from kit to kit, so when they do pre-pack kits, they make use of the kit packing feature in GroovePacker. This allows a work order to be created which guides the user as they assemble the kits.

 

  

INTEGRATION & OPERATIONAL EFFICIENCY

 

DreadHead HQ integrated Groovepacker into its existing workflow with remarkable ease. The onboarding process was a breeze, requiring very minimal setup time. The software’s user-friendly interface made for quick product imports, barcode generation and barcode printing, enabling the team to begin using the platform efficiently without any extensive training. Within just 48 hours after account creation, Dreadhead was up and running, with staff trained and confident in utilizing the platform. The platform’s ease of integration allowed DreadHead to focus on what matters most: delivering exceptional products to their customers.

A pivotal enhancement to DreadHead’s workflow came from using the Receiving Notes and Notes to Packer features. During inventory receiving, the team is able to view specific instructions on receiving and storing each SKU. For instance, prompting the user to bag minuscule items in polybags. GroovePacker also saves time by giving them easy access to print barcodes and update inventory from the same screen.

During the pick-pack process, the ability to attach notes for packers to reference while scanning particular items, such as reminding them to check bottle caps before packing and shipping liquids, proved to be highly effective in maintaining quality control and efficiency.

 

Receiving notes guide the team through any steps required during the receiving process.

Since implementing Groovepacker, DreadHead HQ has experienced a significant reduction in packing errors, achieving an impressive error rate of .001 percent. Yes, you read that right! Prior to using Groovepacker, packing errors were estimated to be as high as 12%, leading to costly discrepancies and customer dissatisfaction. However, with Groovepacker’s intuitive scanning process guiding packers through the process and alerting them with visual and audio feedback, VocRehab clients who have never worked in a warehouse are able to begin fulfilling orders accurately on their first day. By providing a seamless onboarding experience and scanning process, individuals from vocational rehabilitation programs were able to quickly adapt to their roles in the shipping department.
